AI meeting assistants compared for teams: who each one suits, real prices, free plans and the limits to know before you record your next call.

By The AI Report · Prices and features checked November 2, 2026

How we make money. Claap, MeetGeek are partners: if you sign up through our link, The AI Report may earn a commission at no cost to you. It does not change the order or the facts below, which list strengths and limits for every tool.

An AI meeting assistant joins your calls, records them, writes a transcript and sends a summary with action items. Most can now search across past meetings and send notes to your CRM or project tool.

This guide compares the main options for teams on price, free plans, platforms and limits, using each vendor's own pages. If your company already pays for Microsoft 365 or Zoom, check what you already have before you buy something new.

  • ZoomMate is a separate add-on starting at $20 per user per month, and some of its features use metered AI credits.
  • My Notes supports 9 languages, fewer than the 30+ languages Zoom lists for meeting summaries.

Works with: Built into Zoom Meetings and Zoom Workplace. My Notes works with Microsoft Teams, Google Meet and other third-party meeting platforms. ZoomMate connects to third-party apps, for example to update Salesforce

Languages: Meeting summaries in over 30 languages; My Notes in 9 languages

Security: Zoom says it does not use customer audio, video, chat, screen sharing, attachments or other communications-like content to train Zoom's or third-party AI models. A visible indicator appears in Zoom meetings when transcription is on

About these prices: Zoom's main pricing page (zoom.us/pricing) could not be fetched. Prices come from Zoom product pages and its June 1, 2026 newsroom post. The $14.16, $8.33 and $20 figures are shown without a billing period

How to choose

  • Get consent before you record. US federal law allows recording when one party consents, but states including California, Florida, Illinois, Pennsylvania and Washington can require consent from everyone on the call. Announce recordings and turn on any consent notice your tool offers.
  • Check how long recordings are kept. tl;dv keeps free recordings for 3 months, and MeetGeek Basic and Claap Basic store transcripts or content for 3 months, while custom retention rules usually sit on enterprise tiers. If GDPR applies to you, the European Commission says personal data must be stored for the shortest time possible.
  • Match minute and length caps to your meeting load. Otter's free plan allows 300 minutes a month and 30 minutes per conversation, Read AI's free plan covers 5 meetings a month, and MeetGeek Pro includes 20 hours a month. Per-meeting limits also apply on paid plans, for example 2 hours on Fireflies Pro and 3 hours on every tl;dv plan.
  • If your team sells, check CRM sync by plan and by seat. Claap lists CRM integrations only on Business and Enterprise, Otter limits Salesforce and HubSpot sync to 1 user on Pro and 5 on Business, and Fathom's free plan syncs to HubSpot, Salesforce or Close for up to 3 users per email domain.
  • Check what you already pay for. Zoom says eligible paid Zoom Workplace plans include core AI features such as meeting summaries at no additional cost. In Microsoft Teams, intelligent recap needs a Teams Premium or Microsoft Copilot license on top of a Teams license, and it is unavailable when transcription is turned off.
  • Ask how meeting data is used and protected. Zoom says it does not use customer meeting content to train AI models, Microsoft says Copilot prompts and responses are not used to train foundation models, and Read AI says users are opted out of model training by default. HIPAA support often needs a top tier, for example Fireflies Enterprise, Read AI Enterprise+ or Otter's Enterprise add-on.

How we put this guide together

  • We checked each vendor's own pricing and product pages on the date at the top. Prices and plans change often, so confirm on the vendor's site before you buy.
  • This guide compares plans, features and stated limits from vendor pages. It is not a hands-on review.
  • Tools are listed alphabetically. Being a partner does not change the order or the facts, and every tool lists its limits.
  • Usage numbers come from The AI Report's AI at Work Benchmark: aggregate answers from 14,452 professionals between July 20 and November 2, 2026.

Recent changes

  • Zoom launched ZoomMate on June 1, 2026, as an add-on starting at $20 per user per month with included AI credits, first for online and direct customers in North America. In a June 24, 2026 post, Zoom said AI Companion features are now built into Zoom Workplace under functional names such as meeting summaries, that ZoomMate builds on Custom AI Companion, and that eligible paid plans keep core AI features at no additional cost.
  • Zoom's current pages give free Workplace Basic users limited AI: summaries for 3 hosted meetings and 3 My Notes uses a month. Zoom's September 2025 Zoomtopia post priced the Custom AI Companion add-on at $12 per user per month. MeetGeek, a competitor, states that add-on was retired on June 1, 2026; Zoom's own pages we read do not confirm this, and Zoom says Custom AI Companion customers will continue to be supported.
  • Microsoft changed Teams licensing on April 1, 2026: advanced events features and eCDN moved from Teams Premium into Teams Enterprise. Microsoft's FAQ says intelligent meeting recap remains a Teams Premium feature, and its support pages say recap is also available with a Microsoft Copilot license. Teams Premium licenses bought before April 1, 2026 keep all previously included features until they expire.
  • Microsoft lists Microsoft 365 Copilot Business at $18.00 user/month paid yearly, down from $21.00, from July 1 to December 31, 2026. The discount applies to the first year only and needs an annual commitment.
  • tl;dv's live pricing page did not render for us, so tl;dv prices come from its own blog posts dated July 27 and August 11, 2026. A third-party tracker, usagepricing.com, reports that on September 21, 2026 tl;dv moved premium transcription from Business to Pro and relabeled Business transcription as advanced, with seat prices unchanged. We could not confirm this on tl;dv's own pages.
  • tl;dv's help center article (dated November 24, 2025) says free-plan AI limits are for the life of the account and do not renew monthly, while a July 2026 tl;dv blog post describes them as monthly. Check the live page before stating either.
